ILS 2004-13 Information Regarding the Settings that Mask Items in iPAC

This document is to inform you about a function of Horizon that affects only those libraries that chose to mask Lost, Missing, or Claimed Returned items from the iPAC.

When we upgraded to 7.3.2, a sheet with new functionality was sent out and three of the new choices were whether or not to allow this masking. We have recently learned of additional steps that need to be taken when one of these items are returned, if you have this masking turned on.

 

If you have set up your location parameters to make an item staff-only when it is given one of these statuses, then the aging process of Overdue to Lost is marking the item staff-only.

 

Staff-only items are masked in the iPAC. Because there are items that are legitimately marked staff-only, Horizon does not remove the staff-only setting when the item is checked in. The status changes to available but the staff-only remains.

 

A message does pop up in circulation alerting staff that a missing or lost or claimed return item has been found.  You should train your staff to set those aside for the cataloging department's attention. 

 

This is an EasyAsk query that will help you find those items that have already been checked in and need to be moved from the staff-only setting. Paste and cut the following into your EasyAsk query window: 

list items, items.staff only where  item location = your location code,  item collection = one of your collection codes, item status = 'i'

 

For larger collections, this list is limited. We will help sort through these larger collections when any site is ready to do so.

 

Most of you do not have this set to move these items to staff-only. If you want to turn this setting on, I've discovered you could set it to delay a certain number of days, up to 999 days. You could thus mask items that have been long gone.

 

If you are not sure whether or not you set your items to mask, send a quick query to go_live. Attached is the optional settings page sent out in February, modified slightly, so that if you want to turn this on or set it to take affect after a number of days, you can do so.
